Supervisor:

Purpose:

  • The Accounting Specialist processes the Company’s payroll as well as processes vendor invoices including indexing, scanning, routing documentation to approvers, and payment processing

Responsibilities:

  • Sort and process purchase orders, delivery tickets, in a high speed multi company environment and invoices with high degree of accuracy relating to multiple companies and jobs
  • Meet deadlines for prior month invoice entries
  • Respond to vendor invoice inquiries both verbally and by written email
  • Work closely with other Company departments
  • Perform accurate coding and payment of invoices
  • Process selected invoice payments
  • Verify account payable balances to monthly vendor statements prior to processing new vendor and materials
  • Monitor utility payments for reasonableness
  • Process credit card statements with verification of receipts
  • Cross training to other duties as needed
  • All other duties as assigned

Skills:

  • Ability to efficiently utilize Microsoft Excel, Word and Outlook
  • Familiarity with Sage programs is a plus
  • Strong attention to detail required
  • General understanding of accounting practices and principles
  • Ability to effectively communicate in both verbal and written communications

Experience / Education:

  • High school diploma/GED required. (Bachelor’s Degree in Accounting or related field preferred)
  • Minimum 5 years accounts payable or other related accounting experience

Physical Requirements:

  • Ability to remain seated for long periods of time in a standard issue desk chair
  • Ability to tolerate prolonged exposure to computer screens, mobile phone screens
  • Ability to read documents and materials in hard and soft copy form (either naturally or with corrective lenses)
  • Ability to work more than 40 hours in any given week including weekend assignments when required
  • Ability to move from one location to another within and around locations
  • Ability to understand the speech of another person
  • Ability to frequently bend to file and maintain files
  • Ability to occasionally lift 5-10 pounds
  • Ability to remain calm during emergencies and respond appropriately as dictated by the circumstance of the incident
